Understanding the Apostille Process

Think of an Apostille as an "international seal of approval" that tells foreign governments:

An Apostille is a specialized certification that authenticates a notarized document for international use. It ensures that a document issued in one country is legally recognized in another country.

  • The document is legitimate.
  • The notary who signed it was verified.
  • It meets international standards for legal recognition.

Convention Countries

Hague Convention Countries – These countries accept the Apostille process for document authentication, making it quick and simple.

Non-Hague Countries – These countries do not accept Apostilles and require an additional level of certification, often involving the U.S. State Department and the foreign embassy.

Example to Remember: If you're sending a Power of Attorney to Spain (Hague Convention country), you only need an Apostille.

But if you're sending it to China (a non-Hague country), additional embassy legalization (steps) is required.

Our Streamlined Apostille Process: A Step-by-Step Guide

Step 1: Document Notarization (If Required)

Ensuring Initial Legal Validity

If your document is not an official government-issued record, the first step is document notarization. This process validates the document's authenticity and prepares it for Apostille processing.

  • We ensure your documents are properly notarized
  • Meeting all legal requirements for the Florida Secretary of State or U.S. Department of State

Step 1.5: Federal Document Verification & Preparation (For Federal Documents Only)

Federal Document Authentication Requirements

For federal documents requiring U.S. Department of State apostille, we verify eligibility and ensure proper preparation for federal authentication.

  • Verify document eligibility for federal apostille (FBI background checks, federal court documents, U.S. patents, etc.)
  • Ensure proper federal notarization requirements are met
  • Review destination country requirements for federal vs. state documents

Step 2: Submission to Appropriate Authority

Official Authentication Request

We handle the submission of your document to the appropriate authority based on document type:

  • State Documents: Florida Secretary of State for standard apostille processing
  • Federal Documents: U.S. Department of State in Washington D.C. for federal apostille processing
  • We manage all paperwork and communication with the appropriate authority

Step 3: Apostille Certification Issued

Securing International Recognition

Upon successful verification, the appropriate authority issues the Apostille certification. This official seal confirms your document's authenticity for use in Hague Convention countries.

  • Correctly issued Apostille certification from Florida Secretary of State or U.S. Department of State
  • Avoiding potential delays or recognition issues

Step 4: Secure Document Return

Ready for International Use

Finally, we securely return your Apostilled document to you, ready for international use. We prioritize the safe and timely delivery of your legal documents.

  • Documents arrive in perfect condition
  • Reliable and efficient process from start to finish

  • Step 2 – Eligibility confirmation, pricing, and mailing instructions. If your document is eligible, we confirm your total cost (including any additional documents or notarizations), provide payment options, and send instructions for mailing your original certified document to our Central Florida address using a tracked courier.
  • Step 3 – Courier filing in Tallahassee. Once your original document arrives and is re-confirmed, we coordinate courier filing with the Florida Department of State.
  • Step 4 – Return delivery to your international address. We mail your apostilled document and original record to your confirmed international address and provide tracking details.

Processing includes Florida Department of State timelines, courier handling, and international delivery. We keep you updated at key stages.

If your document is not eligible (for example, not certified, missing a required seal or registrar signature, or not notarized correctly under Florida law), we will explain why and provide guidance on how to request the correct certified document before you proceed.

Frequently Asked Questions:

Find answers to common questions about our apostille agent services.

Q: What is the difference between notarization and an apostille?

A: Notarization verifies your identity and signature on a document within the United States. An apostille is an additional certification that authenticates the notary's signature for international use. Think of notarization as the first step, and the apostille as the "international stamp of approval" that makes your document legally recognized abroad.

Q: How do I know if my destination country accepts apostilles?

A: Countries that signed the Hague Convention (like Spain, France, Germany, UK, Australia) accept apostilles directly. Non-Hague countries (like China, Vietnam, UAE) require additional embassy legalization after the apostille. We provide country-specific guidance during your consultation to ensure your documents meet the exact requirements.

Q: Do all documents need to be notarized before getting an apostille?

A: No. Official government documents (birth certificates, marriage certificates, court documents) issued by Florida agencies can go directly for apostille. Personal documents (powers of attorney, affidavits, contracts) must be notarized first. We'll review your specific documents and guide you through the exact requirements.

Q: How long does the U.S. apostille process take?

A: Processing times vary by service level: Standard Mobile Service (5-7 business days), Priority Service (4-5 days), and Rush Service (2-4 business days). Federal apostilles take approximately 10 business days. These timeframes begin once we submit your documents to the appropriate government office.

Q: Can you apostille documents from other states?

A: No, we can only process Florida state apostilles through the Florida Secretary of State. Documents issued in other states must be apostilled in their state of origin. However, if you have a document notarized in Florida, we can apostille that notarization regardless of where the original document was created.

Q: What's included in your mobile service fee?

A: Our mobile service is all-inclusive: travel to your location, 30-minute consultation, document review, notarization (if needed), state filing fees, courier service to Tallahassee, processing coordination, and status updates. The only additional costs are optional courier return delivery or after-hours service fees.

Q: Do you accept mail-in documents?

A:

U.S.-Based Clients: No. We do not accept mail-in documents for clients located inside the United States. All document exchanges are handled through secure public drop-off/handoff or courier return delivery.

International Clients: Yes. International clients must mail their original documents to us for processing. Once completed, we return documents using tracked and insured international courier shipping included with the service.

Q: What payment methods do you accept, and when is payment due?

A: We accept cash, credit/debit cards, Apple Pay, and Zelle. Full payment is required for all services before we begin the process of your apostille. We provide clear invoicing and payment confirmations for all transactions.

Q: What happens if my apostille is rejected or delayed?

A: While rejections are rare with our experienced handling, if issues arise, we immediately contact you with solutions. Common delays include incomplete notarizations or incorrect document formatting. We fix these issues at no additional charge and resubmit immediately. Our real-time tracking ensures you're informed of any status changes.

Q: Can you help with embassy legalization for non-Hague countries?

A: Yes, through our Federal Apostille service, we can handle the first step (U.S. State Department authentication) for non-Hague countries. However, the final embassy legalization step must be completed directly with the specific country's embassy or consulate. We provide detailed guidance on embassy requirements and can recommend trusted embassy services when needed.

Q: Do you work with clients outside the United States? How does the international process work?

A: Yes. We coordinate everything digitally. After full payment, you receive secure mailing instructions. We handle document review, notarization if needed, Florida Apostille processing, courier to the Florida Department of State, and tracked, insured international return shipping.

Q: What is the typical processing time for the International Apostille Service, and what might cause delays in international delivery?

A: Typical timing is 5–10 business days for Florida apostille issuance plus 5–7 days for international delivery. Timelines can be affected by destination country, holidays, document errors (name mismatches, missing notarization), or added requirements for non-Hague countries. We’ll flag any issues up front to keep things moving.

Q: What’s the difference between the U.S. Apostille Service and the International Apostille Service?

U.S. Apostille Service is for clients inside the United States who need their Florida or federal documents authenticated for use abroad.
International Apostille Service is for clients living outside the United States who need Florida-issued documents authenticated for international use. The entire process is managed digitally, with secure courier shipping and tracking worldwide.
